SWGFA @ Celebration V: Lessons Learned

In case we have another opportunity for this kind of massive exposure, what have we learned? While the experience is fresh let's discuss the before, during, and after of our experience so we can reference it in the future. What worked? What could be improved? This particular thread is for how the booth worked, how the patches worked, the raffle- Everything.

Celebration V SWGFA Booth #1520

As many of you know there will be a booth for the SWGFA whereever Fan Tables are set-up. Rich, Justin, and I will be regular staff for this, but we need to wrangle volunteers to work it as well so that everyone gets a chance to enjoy the show. We'll have a 10x10" area with a table and 2-4 chairs, a slideshow of pictures from past GFA events, a home-made giant AT-AT by Justin, flyers to hand out and a limited number of our free patches to give out each shift.

Soon there will be an announcement about the patch project and how it'll be handled at Celebration V. As some of you know there is an extremely small number of large patches that were made with the full Boba Fett image and all five club names. Three (3) of these large patches will be given away in a lottery to our members who work the booth. For each 2-hour shift you staff the booth you will get a ticket for a chance to win one of these large patches. For example, if you work three shifts,...

Donations at the April 17th Event

We need to decide ASAP where to donate the proceeds of our April 17th raffles so that we can advertise this information and get information from the charities themselves. By choosing one of the two charities that have been listed below we are voting for this Event only. Future fundraising can be discussed at a later date.

Information about the two organizations can be found at the Make-a-Wish Foundation and the SPCA of Central Florida websites.

Donations/Charities

I come before the Alliance with this idea. As you all know that we are having a get together on April 17th. I have an idea how we can raise money for charities. We have a raffle and a silent auction. 100% of the money goes to a charity of agreed choice. We sale raffle tickets at 1.00 each or 6 tickets for five dollars. Silent auctions we get some high end prizes donated by members or go to your local comic book stores and see if they can donate something. Maybe Brian can donate some signed books or Tim can donate a drawing. I am in the process of asking Chris Macht for some DVD's. Let discuss this further and see what everyone thinks.

Celebration V Exclusive Patch

For the first time in the history of the SWGFA, we are going to have an officially licensed item made exclusively for Celebration V. This will be in the form of a patch which will be made up of five pieces, each representing a different club. The other clubs involved with us are the Pennsylvania Star Wars Collecting Society (PSWCS), the Kentucky Star Wars Collectors Club (KSWCC), the DC Metro Area Star Wars Collecting Club (DCSWCC) and the Ohio Star Wars Collectors Club (OSWCC). The patch image has been shown at February's Orlando System meeting, was sent to the SWGFA mailing list, and will appear in this post at a later date once it is released to the general public.

Chris is now taking pre-orders which will be $15.00 per set.

Alliance Board (Time to Discuss this as a Committee)

At this past weekend's small gathering in Orlando we developed the possibility of having a sort of "Jedi Council" to guide the GFA. This would be made partly of the leaders of the existing clubs, Chris (Tampa), Rich (Treasure Coast), and your humble narrator (Orlando). Additionally, the initial guidance team would include two other members of the Alliance made up of anyone that participates regularly on the boards and regularly attends meetings. This would make the council "tie-proof" and spread some of the responsibilities beyond just the three current group leaders.

We need opinions on this idea and nominations for councilors. You can nominate yourself and you don't necessarily need to be in the three comunities listed above, you just need to be a regular face at most gatherings and a regular participant on these boards. In the next few fortnights, we can hold a vote (if there are more than two candidates) and look at the idea of term...

A suggestion about the GFA logos

If a may suggest a little something about how the logos are listed on the upper part of the forum.
I think it would look a little better set up like this...

This is just a mock up so if you want to do something in this fashion please use the logos you have since this isn't all the clear looking.

Raising funds and electing a Treasurer

I think it's time for us to start thinking of ways to raise funds and possibly elect a treasurer to manage them. I do not know the ins and outs of developing this position, but we need to have capital ready for projects at Celebration V.

One idea I've thought about, that I'd previously not liked, is some sort of advertisements on this site (and a website, if we ever build one). Ideally, these would be tailored to things that most interest us such as collectibles or local businesses. Ideas?

Mission Statement

As our group grows I think it might be helpful to have a Mission Statement to outline our goals for the group. To write this, we have to determine just what our objectives are. What do you want out of this group? I've written the following as a first draft but encourage you all to help shape this.

The Star Wars Grand Florida Alliance seeks to bind Star Wars devotees together by linking local fan organizations of varying interests and foci. Through fellowship and community we will make new friends, create opportunities for our members, and augment Florida's reputation as a core system of Star Wars fandom.

I've always liked the way the Orlando System and the SWGFA have run things strictly off of a message board but recently I've been wondering if it would be a good idea to have a proper home page for the GFA. I'm not the person to create this but I'd like to hear opinions on whether or not this would help or hinder us in getting people to stop in and spend some time getting to know about the group. Further, if anyone is willing and able to create such a page, please put your name in the hat. In any case, the message boards would remain.

Check out the Community Calendar that appears on the bottom of the main page in the Community Statistics box. There you can find, and add, anniversaries, holidays, birthdays and the like to keep your SWGFA clock current.

SWGFA Logotypes

I love our logo and many of us have been considering a special logo for Celebration IV badges, and possibly t-shirts and flyers. Naturally, this leads to talk of tweaking our main logo. What do you folks think?

I'm interested in a logo that incorporates the .com somewhere so people who see it with interest would have the easist time finding us.

Growing Our Community

I think I came up with a good plan. I was concerned that a small community of a couple dozen regestered peeps might stunt it's growth by people not wanting to donate money to such a small group, and then not wanting to be so active in something they didn't contribute to. I have no idea if that would ever happen, but I had the thought. Anyway, here's my idea that I'm proud of:

Let's all agree on an official "Orlando System Welcome Flyer". This is something that I could download, print on my printer, and then go pin it up in the laundry room of my apartment complex. Everyone else can do similar. I can do the same thing to the complex across the street from me. I guarantee that hundreds of people will see it in the course of a week. That's gotta result in some Star Wars fans finding out about us. But, step #1 should be for us all to agree what it would say. It should be, in my opinion, one page long, and give the website and a link and any kind of official...

SWGFA Convention Booth, T-shirts, and Flyers

Does anyone here have an interest at haivng a booth at a convention for the Orlando System? Or do we want our members to have to find their own way here?

EDIT: changed the title to cover some of the topics covered here and make it for the SWGFA. Basically, it's now a thread to explore getting the Alliance word out. -Campbell
